Texas Tech is proud to be the host of the 2004 National Collegiate CADD Conference (NCCC). With our Southwestern location for NCCC 2004, we expect to increase attendance from colleges in the Southwest United States and from federal and state agencies in this region. To provide registrants with a valuable experience, we want to connect them within the conference program with vendors of products and services who can help them reach their potential. We will send conference registration information by ground mail to sponsors who have participated in past conferences. We also want to communicate with sponsors who have not yet joined us in a conference. If you do not receive a mailing, please contact Art Glick, and we will be happy to send you a copy.

 

conference theme

This year, the theme of the National Collegiate CADD Conference at Texas Tech will be the “Successful Implementation of a CADD System.” We intend to have 3 tracks, one for beginning CADD operators, one for more experienced CADD operators, and one for administrators. The emphasis will be on systems that users feel are currently working successfully for their operations. We will include ways to budget for new CADD programs and operations during these times of constrained budgets around the country. We also want to provide our attendees an opportunity to see the latest innovations in hardware, software and consulting services that are available for CADD, CAFM and GIS and the potentials these innovations offer for more efficient operations.

People using CADD/GIS products to manage higher education facilities around the country attend the NCCC. An average of 120 representatives from 59 educational institutions and federal agencies attended the last 3 conferences. Attendees ranged in institutional roles from Vice President to CADD Technician. All attendees are in some way connected to the selection of products or services relevant to CADD/GIS operations. The 2004 conference will provide 3 full days of contact between sponsors and attendees. Tuesday and Saturday are planned as opportunities for CADD/GIS training for attendees.

special interest groups

Some sponsors have asked about scheduling a meeting with their existing clients or interest group before the NCCC. We are happy to help make arrangements for such programs at the conference site, the host hotel, or otherwise. We can arrange for computer labs or other appropriate space as requested. Please provide plenty of notice for demo facilities if it would require installation of software on computers. Let us know how we might help.

Training or demos conducted as part of the main conference presentation schedule, in the sole name of the sponsor, may be done for a fee of $500. This is to maintain neutrality in selection of speakers who are also sellers of similar products. If a sponsor is presenting as a co-presenter with an institution that uses the sponsor’s products or services, there is no presenter’s charge to the sponsor.

For those who get a half- or full-page ad with their sponsorship package, we prefer to receive any promotion in Microsoft Word, .pdf, or high-resolution image file (.jpg, .bmp, etc.). However, we will try to accommodate other formats, if necessary.

Gold sponsorship package only—a promotional PowerPoint presentation, VHS tape, or DVD, if the company has one, will be shown from the overhead concourse monitors and on the Raider Vision video screens (control room). The United Spirit Arena is equipped with a center-hung, 4-sided, 9'x12' Mitsubishi Diamond Vision video board run by Raider Vision.

All the written and electronic promotional materials for ads and presentations must be received by June 30, 2004, to make it into the 2004 conference. Please mail them to NCCC 2004, Attention: Jackie Dunkel, Box 42004, Lubbock TX 79409-2004.

Sponsors will have their sponsorship level and booth listed on the NCCC Business Partners’ web page and will continue to have their names and logos, listed for a full year after they register.

A sponsor registration form is available on this website. It will provide you with additional information on conference registration and sponsor participation in the conference. Pre-registration for sponsors ends July 30, 2004, after which we will try to be as accommodating as possible; however, please note the deadlines for promotional information. A $25 late registration fee will apply. Note: there are no Saturday or Sunday mail deliveries, including express mail, to the Texas Tech University campus.

Here is a floorplan of sponsor areas and conference areas. Registered sponsors can pick a numbered booth location on a first-come, first-served basis. The booths on the concourse of the United Spirit Arena are laid out as 8’x10’ booths. If there are needs for other special booth sizes or a modification to a designated space, we will be glad to discuss your specific needs and try to accommodate them. The flow and scheduling of attendees in and around the conference area provide sponsors with significant exposure.

Each sponsorship package includes a curtained booth (black) approximately 8’ deep by 10’ wide with one 8’ X 30” skirted table (white), enough chairs for each representative, one 120 volt/20 amp outlet and a waste basket. All sponsorship packages include a typical booth setup, including electrical connections. No surge protection is provided. There will be a wireless hub for Internet access. If you need a wired Internet connection, please let us know so we can accommodate you. We will also provide an Internet café, a common fax machine, a copy machine, and several computer printers on site. The conference host hotel, Holiday Inn, provides dial-up Internet service in each room and a fax and copier, which guests may use, at the front desk. If you have further needs, advance notice is required (jackie.dunkel@ttu.edu).

Grady Henly Decorators, Inc. / Southwest Exposition Services (GHD/SES) will be glad to receive your conference equipment, store it and deliver it for set up at the United Spirit Arena before 3:00p on Tuesday, August 3, 2004. They will also ship it out after the conference. There are links above for freight handling instructions and payment. We recommend you arrive at the United Spirit Arena between 3:00p and 5:00p on Tuesday, August 3, 2004, allowing time to get set up before 6:00p. The outside doors to the Arena will be locked at 5:00p and everyone is requested to leave the building by 6:00p. This will allow personnel to attend the dinner at the Buddy Holly Center and/or be with their families.

We also recommend you initially park at the southwest corner of the building. An attendant will be there to give you a parking pass and instructions on how to move any equipment you bring with you into the Arena. If you ship your equipment to arrive before the conference date, GHD/SES (806-763-3578) will see that your equipment is in your booth before 3:00p on Tuesday, August 3, 2004.

A conference parking pass will be accepted in the United Spirit Arena parking lot. The University has an individually-reserved and area-reserved parking system. If you are directed to park in an area-reserved space, please do not park in an individually-reserved space. You may inconvenience an employee (and get your car towed). Handicapped parking is clearly marked and rigidly enforced.

 

display setup and takedown

Heavy signage and screens must be self-supporting. If what you want to display is light, we ask that it be attached with hooks to the booth railing. Use of pins on the drapes is allowed for reasonably small/light articles as long as the curtains are not damaged. Helium balloons, candles, dry ice, and smoke machines of any kind are prohibited inside the United Spirit Arena. Items may not be taped or pinned to walls (violators subject to damage fees).

Sponsors are responsible for all setup and takedown of their display materials, including clean-up of the sponsor’s display area. Texas Tech University and Southwest Exposition Service staff will not be allowed to assist in setup or takedown of sponsor display materials because of liability issues. All Items to be returned to your company must be removed from the United Spirit Arena by 5:00 p.m., Friday, August 6, 2004. All items left in the Arena after this time and date will be taken to GHD/SES.

The United Spirit Arena is a Texas Tech University-owned public building. Arena staff unlocks public areas at 8:00 a.m. Evening lockdown of public areas is at 5:00 p.m. During the day there are people in and out of the building; therefore, security is not able to be guaranteed. Sponsors and presenters are advised to arrange their own security or representative presence.

Texas Tech University assumes no responsibility for theft of, loss, or damage to any items delivered to the United Spirit Arena or to GHD/SES. Texas Tech University will not be held responsible for freight damage, lost time, flight costs, or any other losses related to equipment damage or conference cancellation. We recommend that sponsoring companies carry their own insurance for full replacement value with a rider on their company's policy if needed.
